1. Purpose
This Cancellation Policy explains how cancellation, non-renewal, expiry and discontinuation of access operate for TP-CAMP OneSuite (“OneSuite,” “we,” “us,” or “our”).
OneSuite generally provides access for a fixed purchased period rather than through automatic recurring renewal.
This Policy applies to OneSuite plans, connected applications, seats, add-ons, trials and other access arrangements unless different terms are expressly provided for a particular product or service.
Refund eligibility is governed separately by the TP-CAMP OneSuite Refund Policy.
This Policy should also be read together with the TP-CAMP OneSuite Terms of Service and Privacy Policy.
2. Fixed Access Periods
Unless expressly stated otherwise at the time of purchase, OneSuite access is provided for a fixed access period.
Available access periods may include monthly, annual or other periods offered by TP-CAMP.
The applicable checkout, invoice, quotation, order confirmation or account record may identify:
- the selected plan;
- start date;
- expiry date;
- access period;
- authorized OneSuite applications;
- included seats;
- purchased add-ons; and
- other applicable access conditions.
The expiry date recorded for the applicable paid access period determines when that access is scheduled to end, subject to correction of any technical or administrative error.
3. No Automatic Renewal Unless Expressly Agreed
Under the standard OneSuite purchase model, access does not automatically renew.
At the end of a fixed access period, TP-CAMP will not automatically charge the customer for another access period unless the customer has expressly entered into a separate automatic-renewal arrangement.
Customers therefore generally do not need to “cancel a subscription” merely to prevent another standard OneSuite charge.
Instead, a customer who does not wish to continue can simply choose not to purchase another access period.
4. Renewal Reminders
TP-CAMP may send reminders before or around the expiry of a customer's access period.
These communications may include:
- upcoming expiry notices;
- remaining-access notifications;
- renewal instructions;
- plan information;
- payment reminders; or
- offers relating to continued access.
Receiving a renewal reminder does not create an obligation to renew.
Failure to receive a reminder also does not automatically extend the applicable access period.
Customers remain responsible for monitoring the access information made available through their account or purchase records.
5. Early Renewal
Customers may be permitted to purchase another access period before their current paid period expires.
Where OneSuite's applicable renewal process provides for unused paid time to be carried forward, the newly purchased access period will be added to the eligible remaining access time rather than replacing it.
For example, where a customer renews before the current expiry date and the applicable renewal arrangement allows unused time to carry forward, the resulting expiry date will reflect the remaining eligible time plus the newly purchased access period.
The expiry date displayed in the customer's account after processing will govern, subject to correction of technical or administrative errors.
6. Choosing Not to Renew
A customer may discontinue OneSuite by choosing not to purchase another access period.
No cancellation fee is charged merely because a customer decides not to renew a standard fixed-period OneSuite plan.
The customer's paid access ordinarily remains available until the applicable expiry date unless:
- the customer requests earlier account closure;
- access is suspended or terminated under the Terms of Service;
- a security or legal issue requires earlier restriction; or
- another arrangement has been expressly agreed.
Choosing not to renew does not ordinarily result in a refund for unused time remaining in an already purchased access period.
Any refund request is governed exclusively by the TP-CAMP OneSuite Refund Policy.
7. Early Cancellation by the Customer
A customer may request closure of their OneSuite account before the end of a paid access period.
Unless required by applicable law or otherwise agreed by TP-CAMP, requesting early closure does not automatically create a refund or credit for unused access.
Before requesting immediate account closure, customers should export or retain any records they reasonably require where export functionality is available.
Account closure and deletion of personal information are not necessarily the same process.
Data retention and deletion are addressed further in the TP-CAMP OneSuite Privacy Policy.
8. What Happens When Access Expires
When a paid access period expires without renewal, OneSuite may:
- restrict access to paid functionality;
- disable certain actions;
- prevent creation of new records;
- place some applications into a limited or read-only state;
- restrict access to particular connected applications;
- display renewal options;
- prevent use of paid features or capacity; or
- otherwise apply the access controls associated with an expired account.
The exact post-expiry experience may vary according to the plan, application and technical functionality available at that time.
Expiry of paid access does not necessarily mean that the customer's underlying records are immediately deleted.
9. Read-Only or Limited Access
Where supported, TP-CAMP may allow an expired account or particular application to remain accessible on a read-only or otherwise limited basis.
Read-only or limited access may allow customers to view certain existing information while preventing actions such as:
- creating new records;
- modifying records;
- managing ownership information;
- adding team members;
- generating new transactions;
- accessing premium functionality; or
- performing other actions requiring active paid access.
The availability of read-only access is a service feature and is not guaranteed indefinitely unless TP-CAMP expressly agrees otherwise.
10. Connected OneSuite Applications
OneSuite may provide access to multiple connected applications or modules, including applications relating to catalogue, splits and rights administration, operations, invoicing, finance and other OneSuite functionality.
A customer's entitlement may cover some applications and not others.
Cancellation, expiry or modification of an entitlement may therefore affect access to individual applications differently.
Ending access to one application does not necessarily delete information that has legitimately synchronized with another authorized OneSuite application.
TP-CAMP may retain cross-application records where reasonably necessary to preserve data integrity, audit history, ownership records, financial records, security information or other legitimate business records.
11. Team Members and Seats
Workspace owners or authorized administrators may be able to add, suspend, reactivate or remove team members according to the applicable plan and permissions.
Removing a team member from a workspace does not constitute cancellation of the entire OneSuite account.
Removal of a team member also does not ordinarily delete business records that the person created or contributed to while acting as an authorized workspace user.
Those records may remain part of the organization's workspace.
12. Cancelling Additional Seats or Add-Ons
Where additional seats or add-ons are purchased for a fixed access period, a customer may choose not to purchase those seats or add-ons again for a future period.
Unless TP-CAMP expressly provides otherwise, discontinuing an add-on does not automatically result in a refund for an already activated or used purchase.
Where an add-on is technically dependent on another OneSuite service, expiry of the underlying service may also affect the add-on.
Refund eligibility relating to seats or add-ons is governed by the TP-CAMP OneSuite Refund Policy.
13. Plan Changes
OneSuite may permit customers to change, upgrade or otherwise modify their plan.
The availability and effect of a plan change may depend on the customer's current plan, remaining access period, selected applications, seats, add-ons and the options available at that time.
Any price adjustment, account credit or treatment of remaining paid access associated with a plan change will be determined according to the applicable purchase process or agreement.
A plan change is not necessarily treated as cancellation of the entire OneSuite account.
14. Trials
TP-CAMP may provide trial access for a specified period.
Unless expressly stated otherwise, a OneSuite trial does not automatically convert into a paid plan and does not automatically authorize TP-CAMP to charge the user when the trial ends.
At the end of a trial, access may:
- expire;
- become restricted;
- become read-only where supported; or
- require the user to purchase an eligible paid plan to continue using paid functionality.
A user who does not wish to continue after a trial may simply choose not to purchase a paid access period.
15. Complimentary and Manually Granted Access
TP-CAMP may provide complimentary, promotional, administrative or manually granted access without requiring payment.
Such access may have a defined start date, expiry date, application entitlement, seat allocation or other limitation.
Unless otherwise agreed, TP-CAMP may allow such access to expire at the end of the granted period without requiring a cancellation request.
Complimentary access does not create an entitlement to continued free access after the applicable period ends.
16. Professional and Administrative Services
Some customers may separately engage TP-CAMP for onboarding, consulting, rights administration, catalogue administration, professional support or other services.
Cancelling OneSuite software access does not automatically cancel a separate professional-services engagement.
Similarly, ending a professional-services engagement does not automatically close the customer's OneSuite account.
Where a professional service is governed by a quotation, invoice, statement of work, engagement agreement or other contract, the cancellation provisions of that agreement will apply.
Customers should therefore review the applicable agreement before cancelling separately contracted professional services.
17. Payment Failure
Where payment for a new access period fails, remains incomplete, is reversed or is rejected by the applicable payment provider, TP-CAMP may decline to activate the new access period.
A failed attempt to purchase a future access period does not necessarily affect a valid existing paid period that has already been successfully purchased, unless there is a separate billing, fraud, security or legal issue.
18. Suspension or Termination by TP-CAMP
TP-CAMP may restrict, suspend or terminate access where reasonably necessary because of:
- fraud or suspected fraudulent activity;
- unauthorized access;
- security threats;
- misuse of the Services;
- prohibited activity;
- material breach of the Terms of Service;
- non-payment of an amount properly due;
- unlawful activity;
- legal or regulatory requirements; or
- conduct that materially threatens TP-CAMP, its systems, users or service providers.
Where reasonably appropriate, TP-CAMP may provide notice or an opportunity to address the issue before termination.
Immediate restriction may be necessary in cases involving security, fraud, unlawful conduct or material risk.
Any refund issue resulting from suspension or termination is governed by the Refund Policy and applicable law.
19. Discontinuation of a Service or Feature
TP-CAMP may modify, replace or discontinue applications, integrations, features or Services as OneSuite develops.
Where TP-CAMP permanently discontinues a material paid Service before the end of a customer's applicable paid access period and does not provide a reasonably comparable replacement, TP-CAMP may provide an appropriate remedy depending on the circumstances.
Any monetary refund or payment adjustment will be handled under the Refund Policy.
Changes to beta, preview, experimental or developing functionality may be treated differently where the purchased core Service remains materially available.
20. Account Closure
Customers may request closure of their OneSuite account through the official TP-CAMP support or account process.
TP-CAMP may require reasonable verification before processing an account-closure request.
Where an account belongs to a company, label, publisher, management company or other organization, TP-CAMP may require confirmation from the workspace owner or another appropriately authorized person before closing the organizational workspace.
Closing an individual user's access does not necessarily close the organization's workspace.
21. Data After Cancellation, Expiry or Account Closure
Cancellation, expiry, non-renewal or account closure does not necessarily cause immediate deletion of all information.
TP-CAMP may retain information where reasonably necessary for:
- legal or regulatory obligations;
- financial and accounting records;
- payment reconciliation;
- fraud prevention;
- security;
- dispute resolution;
- enforcement of agreements;
- audit history;
- rights and ownership records;
- legitimate business records;
- backup and disaster recovery; or
- other lawful purposes.
Where information is no longer reasonably required, TP-CAMP may delete or anonymize it according to applicable requirements and its operational processes.

22. Exporting Records Before Closure
Customers are encouraged to review and export important business records before requesting account closure or allowing access to expire, where applicable export functionality is available.
TP-CAMP does not guarantee that every category of data will remain indefinitely accessible after an account has expired or been closed.
Certain records may nevertheless be retained internally where required or permitted for the purposes described in this Policy, the Privacy Policy or applicable law.
23. Reactivation
Where supported, a customer whose access has expired may be able to reactivate OneSuite by purchasing a new eligible access period.
Reactivation may restore access to retained workspace information where that information remains available.
TP-CAMP does not guarantee indefinite preservation of inactive account information solely for possible future reactivation.
The plan, pricing, features and entitlements available at the time of reactivation may differ from those previously used by the customer.
24. Cancellation Does Not Remove Existing Obligations
Cancellation, non-renewal, expiry or account closure does not eliminate obligations that arose before the applicable cancellation or expiry.
This may include outstanding payment obligations, confidentiality obligations, ownership rights, intellectual-property provisions, dispute obligations and other provisions that by their nature are intended to continue after access ends.
25. No Cancellation Fee for Standard Non-Renewal
Under OneSuite's standard fixed-access model, TP-CAMP does not charge a cancellation fee simply because a customer chooses not to purchase another access period.
If a separately negotiated agreement, professional-service engagement or special arrangement contains different cancellation terms, the terms of that agreement will apply to that arrangement.
26. Mandatory Legal Rights
Nothing in this Cancellation Policy is intended to exclude, restrict or modify a cancellation, consumer, contractual, privacy or other legal right that cannot lawfully be excluded or restricted.
Where applicable mandatory law provides greater protection than this Policy, the applicable legal requirement will prevail.
27. Changes to This Cancellation Policy
TP-CAMP may update this Cancellation Policy as OneSuite's plans, access model, applications, Services or applicable legal requirements evolve.
The latest version will display its effective or last-updated date.
Material changes may be communicated through the OneSuite website, account interface, email or another appropriate method.
Changes will not be used to retroactively remove rights that have already arisen under applicable law or the terms governing an existing purchase.
28. Contact and Cancellation Requests
Questions concerning cancellation, non-renewal, expiry or account closure should be submitted through the official TP-CAMP OneSuite contact or support channels.
Customers requesting account closure should provide sufficient account information for TP-CAMP to identify the applicable account or workspace and verify the authority of the person making the request.
The current Cancellation Policy will be available through the TP-CAMP OneSuite website.
