1. Purpose
This AI Usage & Transparency Policy (“Policy”) explains how artificial intelligence (“AI”) and AI-assisted functionality may be used within TP-CAMP OneSuite (“OneSuite,” “we,” “us,” or “our”).
The purpose of this Policy is to provide transparency concerning:
- where AI may be used;
- what AI is intended to do;
- what information may be processed;
- the limitations of AI-generated output;
- user responsibilities;
- human review;
- third-party AI providers;
- prohibited AI uses; and
- safeguards surrounding important business, rights and financial decisions.
This Policy applies across the OneSuite ecosystem, including connected applications and services relating to Catalog, Splits, Operations, Invoice, Finance and other OneSuite applications or modules that may introduce AI-assisted functionality.
This Policy should be read together with the TP-CAMP OneSuite Terms of Service, Privacy Policy, Acceptable Use Policy, Copyright & Intellectual Property Policy, and other applicable OneSuite policies.
2. OneSuite's Approach to Artificial Intelligence
OneSuite uses or may use AI as an assistive technology designed to help users work with music-business information more efficiently.
AI functionality may help users:
- understand information;
- organize information;
- summarize records;
- draft content;
- analyze data;
- identify patterns;
- prepare workflows;
- review information;
- generate suggestions;
- perform calculations;
- support administrative tasks; and
- interact with OneSuite functionality.
AI is intended to support human decision-making rather than replace appropriate human judgment.
3. AI Within the OneSuite Ecosystem
AI functionality may be made available within one or more OneSuite applications.
Depending on the functionality available at the time, AI may assist with areas such as:
- music catalogue administration;
- metadata review;
- rights information;
- split information;
- release operations;
- project management;
- campaign planning;
- invoicing;
- financial analysis;
- revenue planning;
- royalty information;
- document preparation;
- customer support;
- platform navigation; and
- other administrative or analytical activities.
Not every OneSuite application necessarily uses AI in the same manner.
4. Third-Party AI Providers
OneSuite may use third-party artificial intelligence providers to power certain AI-assisted functionality.
At the date of this Policy, OneSuite may use technology provided by OpenAI for certain AI-assisted features.
When an AI feature requires an external AI provider, relevant information may be transmitted to that provider as necessary to generate the requested output.
TP-CAMP may change, add or replace AI providers as OneSuite develops.
Where a material change affects the handling of personal information, TP-CAMP will update relevant disclosures where appropriate.
5. Information That May Be Processed by AI
The information processed by an AI feature depends on the task requested by the user and the way the feature has been implemented.
AI processing may include information such as:
- user prompts;
- instructions;
- text entered by the user;
- selected OneSuite records;
- catalogue metadata;
- rights information;
- ownership or split information;
- project information;
- campaign information;
- invoice information;
- financial data;
- uploaded text;
- documents;
- calculations;
- contextual information necessary to answer a request; and
- other information intentionally made available to the applicable AI feature.
OneSuite should seek to limit information sent to an AI provider to information reasonably necessary for the applicable functionality.
6. Not All OneSuite Data Is Automatically Sent to AI
The existence of AI functionality within OneSuite does not mean that every record stored within a customer's workspace is automatically transmitted to an AI provider.
AI features may receive only the information made available to the particular feature or reasonably necessary to perform the requested task.
The exact information used may depend on the OneSuite application, user request, feature configuration and technical implementation.
7. Personal Information
Some AI-assisted requests may involve personal information.
Where personal information is processed through AI functionality, TP-CAMP will seek to handle that information consistently with the TP-CAMP OneSuite Privacy Policy and applicable data-protection requirements.
Users are responsible for ensuring that they have an appropriate basis or authority for information they submit concerning another person.
8. Sensitive and Confidential Information
Users should exercise care before submitting highly sensitive or confidential information to an AI-powered feature.
Users should not intentionally provide information to an AI feature where they:
- do not have authority to disclose it;
- are prohibited from processing it through an external service;
- are subject to contractual restrictions preventing such processing; or
- otherwise lack a lawful basis to use the information in that manner.
Where highly sensitive information is not necessary to complete an AI-assisted task, users should avoid including it.
9. Customer Ownership of Underlying Data
Using an AI feature does not cause TP-CAMP to claim ownership of the user's underlying:
- musical works;
- recordings;
- lyrics;
- catalogue information;
- rights information;
- contracts;
- business records;
- financial records; or
- other Customer Data.
Ownership of Customer Data remains governed by the Terms of Service, Copyright & Intellectual Property Policy, applicable agreements and applicable law.
10. AI Provider Training and Model Improvement
TP-CAMP will not represent that Customer Data is used to train third-party AI models unless that practice actually applies to the relevant implementation.
The treatment of information submitted to an external AI provider depends on TP-CAMP's technical integration, account configuration and the provider terms applicable to that service.
Where TP-CAMP materially changes its AI implementation in a way that changes how Customer Data may be used for model training or improvement, TP-CAMP will seek to update the applicable disclosures before or when that change is introduced.
11. AI-Generated Output
AI-generated output may include:
- text;
- summaries;
- recommendations;
- explanations;
- classifications;
- calculations;
- projections;
- suggested actions;
- document drafts;
- workflow guidance; and
- other generated information.
AI-generated output may contain errors.
Users should not assume that information is correct merely because it was generated by OneSuite's AI functionality.
12. AI Can Produce Inaccurate Information
Artificial intelligence systems may generate information that is:
- inaccurate;
- incomplete;
- outdated;
- misleading;
- inconsistent;
- based on incorrect assumptions; or
- unsupported by the underlying records.
This may occur even when an AI-generated response appears confident or professionally written.
Users are responsible for reviewing important AI output before relying upon it.
13. Human Review
OneSuite is designed around the principle that important decisions should remain subject to appropriate human review.
Users should independently review AI output before using it for:
- rights registrations;
- ownership decisions;
- split changes;
- contractual decisions;
- payments;
- invoices;
- financial reporting;
- royalty decisions;
- tax matters;
- legal matters;
- submissions to external organizations; or
- other significant business actions.
14. No Automatic Determination of Copyright Ownership
AI functionality does not independently determine legal ownership of a musical work, recording or other copyright.
AI may assist users in reviewing or organizing rights information, but it should not be treated as authoritative proof of:
- authorship;
- copyright ownership;
- publishing ownership;
- master ownership;
- royalty entitlement;
- performer rights; or
- another person's legal interest.
15. No Automatic Modification of Splits Without Authorization
AI-generated suggestions concerning ownership or splits should not automatically override verified ownership records solely because the AI generated a different result.
Where AI identifies a possible inconsistency, the appropriate response should ordinarily be to flag the issue for review.
Material ownership changes should remain subject to the permissions, validation and human-review controls applicable within OneSuite.
16. Rights Registration and AI
AI may assist with:
- organizing registration information;
- identifying missing information;
- checking metadata;
- explaining registration requirements;
- preparing data;
- identifying possible inconsistencies; or
- supporting related workflows.
AI output does not guarantee that:
- a registration is accurate;
- a CWR file will be accepted;
- a collective management organization will accept a claim;
- an external organization will recognize ownership; or
- royalties will be paid.
Users remain responsible for reviewing information before submission.
17. Financial AI
OneSuite may use AI to assist with financial information.
This may include:
- summarizing financial records;
- identifying trends;
- explaining budgets;
- analyzing expenses;
- interpreting revenue information;
- supporting forecasts;
- providing financial briefs; or
- assisting with other finance-related workflows.
AI-generated financial information is provided for assistance and should not be treated as professional accounting, tax, investment or financial advice.
18. Revenue and Royalty Estimates
AI may assist users in understanding revenue, streaming, royalty or other estimates.
Actual financial results may differ because of factors including:
- platform rates;
- territory;
- currency;
- contracts;
- ownership;
- deductions;
- taxes;
- distributor terms;
- society rules;
- reporting periods;
- usage patterns; and
- other factors.
AI-generated projections are not guarantees of future earnings.
19. Legal and Contract Assistance
OneSuite AI may assist users in:
- organizing contract information;
- summarizing documents;
- drafting clauses;
- explaining general concepts;
- preparing documents; or
- identifying matters for review.
Such assistance does not constitute legal advice.
Users should obtain advice from an appropriately qualified legal professional for important legal decisions where necessary.
20. Operational and Campaign Assistance
AI may assist with:
- project planning;
- release workflows;
- task organization;
- campaign planning;
- KPI preparation;
- scheduling;
- summaries; and
- other operational functions.
AI-generated recommendations should be treated as suggestions rather than guaranteed strategies or outcomes.
21. AI and Invoices
AI may assist with invoice or quotation workflows where such functionality is available.
Users remain responsible for verifying:
- customer information;
- services;
- quantities;
- prices;
- discounts;
- taxes;
- totals;
- payment terms; and
- other commercial information
before issuing a document.
22. AI Does Not Replace User Authority
AI functionality does not have independent legal authority to act on behalf of a customer.
An AI-generated suggestion does not itself authorize:
- a payment;
- an ownership transfer;
- a contract;
- a rights registration;
- a split change;
- deletion of records;
- an external submission; or
- another legally significant action.
Appropriate user authorization and application permissions remain required.
23. Automated Actions
OneSuite may introduce AI-assisted automation.
Where AI assists with an action that materially affects customer records, TP-CAMP should seek to implement appropriate controls based on the nature and risk of the action.
These may include:
- user confirmation;
- permission checks;
- validation;
- review screens;
- audit records;
- warnings; or
- other safeguards.
The appropriate safeguard may vary according to the feature.
24. High-Impact Decisions
Unless specifically designed, disclosed and lawfully implemented for such a purpose, OneSuite AI should not be treated as the sole decision-maker for decisions that produce significant legal or similarly substantial effects on an individual.
Where a decision concerning rights, payments, account access or other significant matters requires human judgment, appropriate human review should remain available.
25. AI and Account Access
AI features do not independently override OneSuite's account permissions.
An AI feature should operate within the user's authorized workspace and application context.
Users must not attempt to use AI functionality to:
- access another workspace;
- bypass permissions;
- expose restricted information;
- escalate privileges; or
- circumvent OneSuite security controls.
26. AI and Cross-Application Data
Where authorized, AI functionality may use information from connected OneSuite applications to provide more useful assistance.
For example, an authorized AI feature may use relevant information from Catalog, Operations, Invoice or Finance where the feature is designed and permitted to do so.
Cross-application AI access should remain subject to applicable user permissions, workspace boundaries and technical controls.
27. AI and External Sources
Certain AI functionality may use information from external sources or integrations where available.
External information may be inaccurate, incomplete or outdated.
Users should independently verify important third-party information before relying upon it.
28. Prohibited AI Uses
Users must not knowingly use OneSuite AI functionality to:
- commit fraud;
- fabricate ownership claims;
- create false rights registrations;
- forge signatures;
- impersonate another person deceptively;
- facilitate unauthorized system access;
- generate malicious software;
- steal credentials;
- unlawfully process personal information;
- create intentionally deceptive financial records;
- infringe intellectual property rights;
- evade OneSuite security;
- circumvent account restrictions; or
- facilitate another activity prohibited by the Acceptable Use Policy or applicable law.
29. AI and Intellectual Property
Users remain responsible for ensuring that material submitted to or used from an AI feature does not knowingly violate another person's intellectual property rights.
AI-generated content may require human review before publication or commercial use.

30. User Feedback on AI Output
Users may report inaccurate, inappropriate or problematic AI output through the official OneSuite support channels.
Feedback may be used to:
- investigate errors;
- improve prompts;
- adjust safeguards;
- improve feature design;
- identify technical problems; and
- improve the overall OneSuite experience.
31. AI Logs and Technical Records
TP-CAMP may maintain appropriate technical records relating to AI functionality for purposes such as:
- security;
- debugging;
- abuse prevention;
- service improvement;
- troubleshooting;
- usage management; and
- dispute investigation.
The retention of such information should be consistent with the Privacy Policy, Security & Data Protection Policy and Data Retention & Deletion Policy.
32. Security of AI Integrations
TP-CAMP seeks to use reasonable safeguards when integrating external AI services.
These may include appropriate measures relating to:
- server-side credentials;
- access controls;
- authentication;
- permissions;
- secure communications;
- workspace separation; and
- limiting unnecessary exposure of sensitive information.
No AI or online system can be guaranteed to be completely secure.
33. AI Provider Availability
AI-assisted features may depend on third-party providers.
An AI feature may therefore become temporarily unavailable because of:
- provider outages;
- maintenance;
- API limitations;
- usage limits;
- technical errors;
- security controls; or
- changes made by the external provider.
TP-CAMP does not guarantee uninterrupted availability of third-party AI services.
34. Changes to AI Providers
TP-CAMP may change the model, provider or technical implementation used for an AI feature.
Such changes may be made to improve:
- quality;
- security;
- performance;
- cost;
- functionality;
- availability; or
- compliance.
Where a material change significantly affects the treatment of user information, applicable policies or disclosures should be updated accordingly.
35. AI Feature Changes
AI capabilities may evolve as OneSuite develops.
TP-CAMP may:
- introduce new AI features;
- improve existing features;
- remove AI functionality;
- change available models;
- modify usage limits;
- introduce additional safeguards; or
- change how AI functionality interacts with OneSuite applications.
36. No Guarantee of AI Output
TP-CAMP does not guarantee that AI output will be:
- correct;
- complete;
- current;
- legally valid;
- financially accurate;
- commercially successful;
- suitable for a particular purpose; or
- accepted by an external organization.
Users remain responsible for determining whether an output is suitable for their intended use.
37. Privacy Rights and AI
Where AI processing involves personal information, users may have applicable privacy or data-protection rights.
Requests concerning personal information should be handled according to the TP-CAMP OneSuite Privacy Policy and applicable law.
38. Data Retention and AI
Information associated with AI interactions may be retained where reasonably necessary for legitimate operational, security, support, legal or technical purposes.
Retention should not continue longer than reasonably necessary for the applicable purpose, subject to legal, security, backup and dispute requirements.

39. Security Incidents Involving AI
If TP-CAMP becomes aware of a material security incident affecting an AI integration, TP-CAMP may take appropriate steps such as:
- disabling affected functionality;
- rotating credentials;
- restricting access;
- investigating the incident;
- working with the relevant provider;
- restoring functionality when appropriate; and
- providing notices where required by applicable law.
40. Transparency
TP-CAMP seeks to make it reasonably clear when a user is interacting with an AI-assisted feature.
Where appropriate, OneSuite may identify functionality as:
- AI-assisted;
- AI-generated;
- AI-powered; or
- otherwise involving artificial intelligence.
Users should not assume that every OneSuite feature uses AI merely because AI functionality exists elsewhere in the platform.
41. User Responsibility
Users are responsible for how they use AI-generated output.
Before acting on important output, users should consider:
- whether the underlying data is correct;
- whether information is missing;
- whether the AI misunderstood the request;
- whether professional advice is required;
- whether another rights holder must approve the action; and
- whether the output should be independently verified.
42. Relationship to Other OneSuite Policies
Use of AI functionality remains subject to the broader OneSuite legal framework, including the:
- Terms of Service;
- Privacy Policy;
- Cookie Policy;
- Acceptable Use Policy;
- Copyright & Intellectual Property Policy;
- Security & Data Protection Policy; and
- Data Retention & Deletion Policy.
Where another policy imposes a stricter requirement concerning a particular activity, that requirement also applies.
43. Mandatory Legal Rights
Nothing in this Policy is intended to exclude, restrict or modify privacy, data-protection, consumer, contractual or other rights that cannot lawfully be excluded or restricted.
Where applicable law imposes additional AI, privacy or transparency requirements, those requirements will apply.
44. Changes to This Policy
TP-CAMP may update this AI Usage & Transparency Policy as:
- AI functionality changes;
- new models or providers are introduced;
- OneSuite applications develop;
- data practices change;
- new safeguards are implemented; or
- applicable legal requirements evolve.
The current version will display its effective or last-updated date.
Material changes may be communicated through the OneSuite website, application interface, email or another reasonable method.
45. Contact
Questions or concerns about OneSuite's use of artificial intelligence may be submitted through the official TP-CAMP OneSuite contact or support channels.
Users may also report inaccurate, inappropriate or concerning AI output through the applicable support process.
The current AI Usage & Transparency Policy will be available through the TP-CAMP OneSuite website.
